How to create email templates?

With email templates, you can customize the content of your automated emails, such as the appointment confirmation, reminder, cancellation and so on.

The “Appointment details” section is automatically generated by the system and can’t be customized, as the information is pulled directly from the booking.

What are email templates good for?

✔ You can create email templates that apply to all your services or a specific service.

🔔 You can create email templates for all your different email types e.g. appointment confirmation, reminders, etc.

🔀 You can insert variables to add dynamic content to your emails.

How to set up?

  1. Go to your Admin page.

  2. Go to Email templates

  3. Select if you’d like to add templates for 1-on-1 services or Group services using the tabs on the top of the page.

  4. Click on the “Add email template” button.

  5. You can create templates for 3 categories: 1-on-1 services, Group services, PAsses.

  6. Select the type of email that you’d like to customize using the dropdown.

1-on-1 services:

  • Confirmed appointment: This email is received by your client after the appointment is approved.

  • Approval required: This email is received by your client first when they request an appointment if you have manual approval set up

  • Reminder: This email is received by your client 24 hours before the appointment.

  • Second reminder: This email can be set at specific services, received by your client.

  • Declined appointment: This email is received by your client when you don’t approve their appointment request.

  • Canceled appointment: This email is received by your client when you cancel the appointment.

  • Changed appointment: This email is received by your client if you make any changes to the appointment.

Group services:

  • Confirmed appointment: This email is received by your client after the appointment is approved.

  • Approval required: This email is received by your client first when they request an appointment if you have manual approval set up

  • Reminder: This email is received by your client 24 hours before the appointment.

  • Second reminder: This email can be set at specific services, received by your client.

  • Declined appointment: This email is received by your client when you don’t approve their appointment request.

  • Canceled appointment: This email is received by your client when you cancel the appointment.

  • Waitlist sign up: Received by guest when they join the waitlist.

  • Waitlist set available: Received by guest when a seat becomes available on the waitlist.

  • Changed appointment: This email is received by your client if you make any changes to the appointment.

Passes:

  • Pass purchase: Received by guest after purchasing a pass.

  • Approval required: Received by guest if you have manual approval set up.

  • Declined pass purchase: Received by guest if you don’t approve a pass purchase request.

  1. Select the service where the email template should apply using the dropdown. You can select all your services or a specific service. Note: If there is template for all services and one for a specific service, the specific service template will take precedence for that service.

  2. Edit the content of the email using the text editor. You can use the following tools to format the content.

    • Change font size

    • Change font style (Bold, Italic, Underlined)

    • Add links

    • Create numbered and bulleted lists

    • Insert variables*

  3. Send a test email to yourself to preview the email template.

  4. Once you’re done with editing, save the email template.

Name of the service to which the email template applies.

Price of the service to which the email template applies.

{Date}

Date of the appointment (e.g. 23.12.2024)

{FromTime}

Start time of the appointment (e.g. 16:15)

{ToTime}

End time of the appointment (e.g. 17:15)
